We are seeking an organised and proactive Part-Time Office Manager to ensure our office runs smoothly and efficiently. 

Role overview 

The Part-Time Office Manager will be responsible for maintaining the day-to-day operations of the incubator, ensuring a welcoming and productive environment for our members. This role includes financial administration, office maintenance, scheduling, and general operational support. 

This is an on-site position to ensure hands-on involvement in the daily functioning of the incubator and engagement with the community. 

Key responsibilities 

Office administration & operations 

  • Oversee the general upkeep and organisation of the office space, ensuring it remains tidy, stocked, and welcoming. 
  • Maintain office supplies, including essentials such as stationery and coffee beans. 
  • Liaise with external vendors, service providers, and landlord to ensure smooth office operations. 

Scheduling & organisational support 

  • Manage calendars, appointments, and meeting room bookings. 
  • Assist with scheduling meetings and internal events. 
  • Provide ad-hoc administrative support to the leadership team. 

Finance & bookkeeping support 

  • Work with one of the Akcela partners to manage financial administration, including processing invoices, expenses, and payments. 
  • Utilise Xero for financial tracking and reporting (training available if required). 
  • Assist in budget monitoring and financial record-keeping. 

Community & events support 

  • Act as the first point of contact for visitors and new members, providing support and guidance as needed. 
  • Assist with the onboarding of new members, ensuring they have the resources and information necessary to integrate into the community. 
  • Support in the planning, promotion and smooth-running of events and networking meetups. 

Incubation programme upkeep & management 

  • Ensuring to keep clear, actionable reports on all programme activities 
  • Liaising with funding bodies on programme outputs 
  • Supporting key stakeholders with programme activities such as workshops 
  • Ad hoc support to members of the programme on a range of tasks such as administration, bid writing or marketing. 

 

Person specification 

Essential skills & experience 

  • Proven experience in office management, administration, or finance support. 
  • Strong organisational skills with exceptional attention to detail. 
  • A proactive, problem-solving mindset – able to identify and resolve issues before they arise. 
  • Excellent communication and interpersonal skills to foster a welcoming environment. 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn Xero. 
  • Ability to work independently and manage multiple tasks in a dynamic environment. 

Desirable skills & experience 

  • Familiarity with Xero or similar accounting software (training provided if necessary). 
  • Experience working within a start-up, co-working space, or entrepreneurial environment. 
  • A genuine interest in supporting start-ups and business innovation.
